Overview

We are seeking a highly organized, proactive, and detail-oriented Project Coordinator to join our Training Services team. This role is pivotal in supporting the successful planning, execution, monitoring, and closing of projects specifically designed for our clientele. The ideal candidate will thrive in a dynamic environment, possess excellent communication skills, and have a knack for managing multiple priorities to ensure seamless project delivery from initiation to completion. You will work closely with Training Specialists, Instructional Designers, Trainers, Client Stakeholders, and Subject Matter Experts (SMEs).

Responsibilities

Project Planning & Scheduling:

  • Assist Training Specialists in defining project scope, goals, and deliverables.

Develop and maintain detailed project schedules, work breakdown structures, and timelines using various software/tools.

  • Coordinate the allocation of resources (personnel, training rooms, equipment, materials).
  • Schedule project meetings, kick-offs, and regular check-ins; prepare agendas and document minutes/action items.
  • Supporting billing process and actively working to maintain a healthy cash flow position.

Coordination & Logistics:

  • Manage logistics for training delivery, including venue booking (on-site at client locations or off-site), catering, AV equipment setup, and travel arrangements for trainers/participants if necessary.
  • Coordinate the production, printing, and distribution of training materials (manuals, job aids, assessments) in both physical and digital formats.
  • Liaise directly with client contacts to confirm schedules, participant lists, site access requirements, and specific logistical needs unique to their operational environment (ex: e-mail & telephone correspondence, site hosting, shift scheduling, safety protocol communication).

Communication & Stakeholder Management:

  • Serve as a key point of contact for project stakeholders regarding logistical and administrative aspects.
  • Facilitate effective communication between internal team members (L&D, Sales, Operations) and external clients/vendors.
  • Prepare and distribute regular project status updates and reports.

Documentation & Administration:

  • Maintain comprehensive project documentation, including project plans, status reports, risk logs, change requests, and communication records.
  • Administer Learning Management System (LMS) tasks such as course setup, user enrollment, track completion, and generating reports.
  • Organize and maintain digital and physical project files.
  • Assist in tracking project budgets and expenses.

Monitoring & Evaluation Support:

 

  • Track project progress against timelines and milestones, identifying potential issues or delays and escalating them as appropriate.
  • Coordinate the distribution and collection of training evaluations.
  • Assist in compiling evaluation data for analysis and reporting.

Process Improvement:

  • Identify opportunities to improve project coordination processes, tools, and templates for increased efficiency and effectiveness, particularly considering the nuances of industrial clients.
  • Actively participate in the continuous improvement cycle for existing L&D programs by gathering, synthesizing, and tracking feedback from participants, trainers, and client stakeholders.
  • Coordinate course enhancement initiatives based on feedback analysis and evolving client needs. This includes liaising effectively between client feedback channels, SMEs, and the L&D instructional design/development team to clearly communicate required updates, content revisions, or delivery adjustments.
  • Support efforts to ensure program refinements align with adult learning principles, aiming to increase learner engagement, knowledge retention, practical application, and direct relevance to the industrial work environment.
  • Contribute to maintaining the overall quality, accuracy, and relevance of the L&D program portfolio through coordinated review and update processes.

Qualifications

Required Skills & Qualifications

  • Post-secondary diploma or degree in Business Administration, Project Management, Human Resources, Adult Education, or a related field, OR equivalent combination of education and relevant work experience.
  • Minimum 2-3 years of experience in a project coordination or administrative support role, preferably within a training, HR, or L&D function.
  • Proven ability to manage multiple projects and tasks simultaneously with high attention to detail.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills, with the ability to interact professionally with diverse stakeholders, including industrial site managers and personnel.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Experience using project management software (ex: MS Project, Asana, Trello, Smartsheet) and virtual collaboration tools.
  • Basic understanding of Learning Management Systems (LMS) administration.
  • Ability to work independently and as part of a collaborative team.
  • A valid driver's license and willingness to travel occasionally to client sites within the region may be required.

Preferred Qualifications:

  • Experience working directly with or supporting clients in industrial sectors (manufacturing, construction, oil & gas, mining, utilities, transportation).
  • Understanding of industrial workplace environments, including safety protocols and operational constraints.
  • Formal project management certification is an asset.
  • Experience coordinating technical or compliance-based training programs.
  • Familiarity with adult learning principles and instructional design processes.
  • Experience working in a consulting or client-service-oriented environment.

Working Conditions:

  • Primarily office-based with potential for hybrid work arrangement.
  • May require occasional visits to industrial client sites (factories, plants, field locations), which may involve adhering to specific safety requirements (ie: wearing PPE).
  • Standard office hours, but occasional flexibility may be needed to accommodate client schedules or project deadlines.

Pay Range

USD $65,000.00 - USD $85,000.00 /Yr.
