Shermco Industries is seeking a detail-oriented and highly organized Department Administrator & Billing Analyst to support our operations team. This role combines administrative office management responsibilities with billing and financial coordination—ideal for a driven professional who thrives in a dynamic environment and values accuracy, service, and efficiency.
Key Responsibilities:
Administrative Support
· Maintain office supply inventory, safety supplies, and coordinate PPE and uniform distribution.
· Support Operations with scheduling, travel arrangements, purchasing, and internal communication.
· Answer phones, route calls, and greet guests with a professional demeanor.
· Assist with the generation and maintenance of forms, reports, labels, and internal documentation.
· Perform scanning, copying, filing, and various administrative tasks as needed.
· Serve as a go-to resource for both employee and customer support within the office.
· Direct, schedule, and oversee office service vendors and building shared services activities.
Billing & Financial Coordination
· Support Operations from opportunity data entry, PO execution tracking, job data entry, invoicing and tracking progress through final payment.
· Accurately prepare and issue invoices, account statements, and supporting billing documentation.
· Interface directly with clients to ensure timely payment and resolve billing discrepancies.
· Maintain billing data and financial records, posting to internal reports (P&L, income statements, etc.).
· Collaborate with Accounting and Project Managers on job cost data and account reviews.
· Generate weekly and monthly billing summaries and support budgeting efforts.
· Assist with credit card receipt management.
Qualifications:
· Education: High school diploma required; post-secondary education in Business Administration, Accounting, or Finance is a plus.
· Experience: Minimum 2 years in administrative or billing support; experience in service or manufacturing industries preferred.
· Skills:
o Proficiency in MS Office Suite (Word, Excel, Outlook).
o Salesforce system experience preferred
o ERP system experience preferred (Business Central as an example).
o Excellent organizational and time-management skills.
o Strong written and verbal communication.
o Customer-focused with a proactive and positive attitude.
Other Requirements:
· Must be able to pass a background check and pre-employment drug screening.
· Ability to remain seated or working at a computer screen for extended periods.
· Willingness to support multiple teams and shift priorities as needed.
· Must be able to read, write, and speak English fluently.
· Occasional travel may be required.
